Complaints about how we handle your data

If you have concerns about how we have collected, used or shared your information, please tell us first so we can put it right.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection. We would prefer the chance to sort things out for you first, but it is your choice.
Tell us first
Please contact us in whichever way is easiest for you. You do not need to use any particular form of words. Just tell us:
- what your concern is
- roughly when it happened, if you know
- what you would like us to do

How we will respond
When we receive your complaint, we will:
- acknowledge it within 30 days
- look into what happened
- tell you the outcome as soon as we reasonably can
- explain what we are doing to put things right, where we accept something has gone wrong
This commitment is set out in the Data (Use and Access) Act 2025, which gives you a clear route to raise data concerns with the practice.
Who handles your complaint
Data complaints are handled by our Practice Manager, with input from our Information Governance Lead (Dr James Murdoch) and our Caldicott Guardian (Dr Jason Bolton) where needed. We may also seek advice from our Data Protection Officer at NHS South, Central and West.
If your complaint involves a clinician’s care or the practice more widely, we may handle it under our normal complaints process as well as our data complaints process. We will tell you if so.
If you are not satisfied with our response
You can complain to the Information Commissioner’s Office (ICO). The ICO is the UK’s independent regulator for data protection.

You can complain to the ICO at any time, but they usually expect you to have raised your concerns with us first.
